A scale ticket is evidence. It is not an explanation.

A certified ticket tells you what the truck weighed, where, and at what moment, in a form that will stand up in an argument. What it does not do is tell you why the number is what it is, or what to move. This page covers both halves.

Anatomy

What each line on the ticket means

Tickets vary by scale operator and by jurisdiction, but the same fields appear on almost all of them, and each one is there for a reason.

The identity block

Ticket number

A sequential reference for that scale on that day. It is the handle for everything afterwards: a re-weigh, a dispute, an invoice query. Record it against the load, because a ticket you cannot find is a ticket you do not have.

Date and time

The moment of the weighing, not the moment of loading and not the moment of dispatch. This matters more than it looks. A truck weighed at 06:10 with full tanks and weighed again at 16:00 after four hundred miles is two different vehicles as far as the steer axle is concerned.

Scale identification and certification

The scale's own identity, and usually a statement that it is certified or licensed to weigh for the purpose of the ticket. This is what separates a certified ticket from a number on a display. An uncertified reading is useful for your own decisions and is not evidence.

Weighmaster

The name and, on a certified ticket, the signature or the printed certification of the person responsible for the weighing. Some jurisdictions license weighmasters individually. Their attestation is what makes the document a legal record rather than a receipt.

Vehicle identification

Tractor unit number, trailer number, plate, and sometimes the driver. Check it. A ticket carrying the wrong trailer number is worth nothing in a dispute, and the error is easy to make when a yard runs a hundred similar trailers.

The weight block

Steer, drive and trailer weights

On a scale with separate platforms under each axle group, each group is weighed independently and printed separately. This is the part of the ticket that is worth anything for compliance, because these are the numbers enforcement cares about. A scale with one long platform can only give you a gross figure, and a gross figure cannot tell you whether you are legal.

Gross weight

The whole combination as it sat on the scale, including the tractor, the trailer, fuel, driver and freight. On a multi-platform scale, gross is the sum of the group weights. That gives you a useful arithmetic check. If the printed gross does not equal the printed groups, one platform did not read cleanly.

Tare weight

The weight of the vehicle without the cargo. This is the line to be careful about. Some tickets carry a live tare, weighed empty on the same scale that day. Others carry a stored tare held against the unit number from a previous weighing. A stored tare is a historical number, and it is wrong the moment anything changes: a different fuel level, a set of chains, a pallet of dunnage left in the nose, a reefer with fuel in it.

Net weight

Gross minus tare, and therefore the cargo. If the tare is stored rather than live, the net inherits every error in it. Where the net is being used to pay somebody — commodity loads billed by weight — the difference between a live tare and a stored tare is money.

Units

Pounds or kilograms, and occasionally short tons. Worth a glance on any cross-border run, because a ticket in the wrong unit is not a small error.

The ticket used in the worked example below. It prints 76,480 lb of gross weight, which is 3,520 lb under the federal cap, and one of the three groups it prints is over its own limit.

A ticket is evidence of what the truck weighed at one minute, at one scale. It is not evidence that the load is legal.

What the ticket does not contain

A scale ticket gives you group weights. It does not give you the individual axles inside a tandem, any of the consecutive axle subsets the bridge formula applies to, the tire rating on the group, the manufacturer's axle rating, or the jurisdiction's own limits. A truck can produce a perfectly clean-looking ticket and still be over on an interior four-axle group, because that group is not a line on the ticket and never has been.

Worked example

Reconciling a ticket against the plan

The plan was built that morning. The ticket came off the scale two hours later. They do not agree, and the disagreement is diagnosable.

Read the differences, not the totals

Gross is 480 lb heavier than planned, which on a 76,000 lb combination is well under one percent and looks like nothing. Compare group by group and the picture is completely different. The trailer tandem is unchanged. The entire extra 480 lb landed on the tractor, split almost evenly between the steer axle and the drive tandem.

Weight that appears on the tractor and not the trailer did not come from the freight. Freight loads the trailer first and reaches the tractor only through the kingpin, which would have moved the trailer tandem too. Weight that splits evenly between the steer and the drives came from something sitting near the middle of the tractor's wheelbase, and on a tractor the thing near the middle of the wheelbase is the fuel tanks.

480 lb of diesel at roughly 7.1 lb per gallon is about 68 gallons. The plan was built against the fuel level the truck had when it was planned, and the driver topped up on the way to the scale.

And that puts the drive tandem over

The drive tandem was planned at 33,920 lb against a 34,000 lb limit, which is 80 lb of margin. The ticket reads 34,160 lb, which is 160 lb over. Nobody loaded anything. Nobody moved anything. The truck was fuelled, and fuelling it made it illegal.

The fix, from the same arithmetic

On this combination, moving a 2,200 lb pallet one foot further aft takes 47 lb off the drive tandem. Moving one pallet 4 ft back takes 187 lb off, which brings the drive tandem to 33,973 lb and clears the limit with room to spare. It puts about 220 lb onto the trailer tandem, which has 3,200 lb of headroom, so the move is safe.

That is a forklift job of a few minutes, and it is only available because the ticket was read as five numbers rather than one.

Three points on the same load: the plan, the ticket after about 68 gallons of diesel went in, and the same truck after one 2,200 lb pallet moves 4 ft aft. Nothing was added or taken off between the second point and the third.

Nobody loaded anything. Nobody moved anything. The truck was fuelled, and fuelling it made it illegal.

Procedure

How to reconcile a ticket, in order

Doing this the same way every time is what turns a pile of tickets into a calibration exercise rather than a filing exercise.

  1. 01

    Check the ticket is about your truck

    Unit number, trailer number, date and time. Then check the arithmetic on the ticket itself: the printed groups should sum to the printed gross, and gross minus tare should equal the printed net. A ticket that does not add up is a ticket where a platform did not read, and the group weights on it cannot be trusted.

  2. 02

    Compare group by group, never gross to gross

    Gross agreeing tells you almost nothing, because the whole problem is distribution. Put the planned and the printed numbers side by side for the steer, the drives and the trailer tandem, and look at the three differences rather than the one total.

  3. 03

    Account for the things that changed after planning

    Fuel taken on since the plan. Pallets, dunnage, chains, straps and load bars added at the dock. A reefer with fuel in its own tank. The driver, their kit and anything in the cab. Each of these lands somewhere specific, and where it lands tells you which group it should have affected.

    Ask whether the weighing itself was clean

    All axles of a group fully on their platform, the combination straight rather than angled, the ground level, the brakes released, and the driver out of the cab or in it consistently. A truck weighed on a slope or with one drive axle half off the pad produces a real number for a situation that is not yours.

    Decide whether the difference is systematic or random

    This is the step people skip and it is the one with the value in it. If the ticket comes back heavier on the drives by roughly the same amount every week, your model input is wrong: a tare weight, a centre-of-gravity assumption, a fifth-wheel setting recorded once and never checked. Correct the input and every future plan improves. If the differences scatter in both directions, it is measurement noise and there is nothing to fix.

    File it against the load

    The ticket is evidence of what the truck weighed at a specific moment, and its value is entirely in being findable two years later next to the plan it was checking. A ticket in a folder in a cab is not filed.

Judgement

Four things worth knowing before you argue with a ticket

Not every disagreement between a plan and a ticket is somebody's error.

Scales have tolerances, and so does your model

A certified scale is accurate within a published tolerance, not absolutely. So is a solved plan, which depends on tare weights and centre-of-gravity assumptions that are themselves estimates. Two numbers that differ by a small amount are not necessarily in conflict. Two numbers that differ by the same amount in the same direction every single time are.

A certified ticket is a snapshot with a timestamp on it

It proves what the truck weighed at that scale at that minute. It does not prove what the truck weighed two hundred miles later, and it is not a defence against a reading taken at a different scale on a different day. Fuel burn alone will move the steer axle over the course of a shift.

Onboard scales are not a substitute for a certified ticket

Onboard systems are genuinely useful for the operator's own decisions and they are not certified for trade. Where a weight has to be proved to a third party — an enforcement officer, a customer paying by the pound — the certified ticket is the document that does it.

A clean ticket is not the same as a legal load

This is the point worth repeating. The ticket carries three or four group weights. Compliance depends on those, plus every consecutive axle subset under the bridge formula, plus the tire rating, plus the axle rating, plus whatever the jurisdiction you are running in says. A ticket that clears the printed limits has cleared some of the checks, not all of them.

Two numbers that differ by the same amount in the same direction every single time are not measurement noise. They are a wrong input.
